Obsidian vs Notion vs Paperclip: a real decision matrix for SMBs

September 20, 2026 · José Antonio Díaz Infante

Network of linked notes shaped like a brain, representing a second brain with Obsidian, Notion and Claude for SMB knowledge management

Your operations director asks in the meeting: "Couldn't we automate everything with Paperclip?". A consultant sells you an "AI agent system" that supposedly will make your team of 5 do the work of 15. It sounds incredible. You have six options in your head — Obsidian, Notion, Paperclip, Claude, a custom RAG, a corporate second brain — and nobody knows which one to choose.

The problem is that they solve different things. And in most cases, Paperclip is setup porn, not a solution. This is the real decision matrix, with no smoke.

The problem each tool solves

Obsidian: "My team is losing information"

Symptoms: processes documented in three places, a three-month onboarding, nobody can find the decision made six months ago, the team's context evaporates when someone leaves.

Obsidian is knowledge management: a local, centralized vault where the team documents processes, decisions and project context. It is the foundation of the company's second brain: linked notes in markdown, full ownership of your data and instant search.

Connected to Claude —the obsidian ai or obsidian claude notebook pattern— your vault stops being a dead archive: Claude reads the project notes, answers with your company's real context and drafts procedures from what you already documented. That is RAG (Retrieval Augmented Generation) in its cheapest and most useful form: the AI retrieves your own documents before answering, so it stops making things up.

Price: free locally, USD 20/month with Sync. Effort: 2 weeks to set up; after that it mostly maintains itself.

Notion: "I need a workspace with databases"

Symptoms: one active project, 50 tasks to track, 5 people collaborating, a need for multiple views (table, kanban, calendar).

Notion is a collaborative workspace: databases, wikis and projects in one place, accessible to non-technical profiles.

The nuance: it is cloud-only (your data lives on Notion's servers), the price scales with every user and it gets slower than Obsidian when you accumulate thousands of notes. For a second brain with semantic search and RAG over dense documentation, Obsidian wins.

Price: USD 10-35/month per user. Effort: 1 week of setup, low maintenance.

Paperclip: "My team of 5 does the work of 15" (the illusion)

Symptoms: repetitive processes that consume 40 hours a week, the impossibility of hiring more people, the conviction that a machine should send the follow-up emails, the daily reports and the data analysis.

Here comes the truth: Paperclip is automation with AI agents. It sounds great. The reality is that 80% of Paperclip implementations are setup porn: you spend three months configuring agents instead of two weeks solving the problem.

Price: open source (free on a VPS) or configuration services costing several thousand euros. Honest effort: 8-12 weeks of setup, testing, debugging and starting over. And that is if your processes were already clear.

The real benchmark: how much money did you invoice this week? If the answer is "I'm configuring Paperclip", you failed.

Why Paperclip fails: setup porn vs. real value

Scenario 1: without Obsidian first

  • Week 1-2: "Let's use Paperclip".
  • Week 3-4: "How do we define the processes?".
  • Week 5-8: configuring agents and starting over.
  • Week 9-12: debugging, testing and more debugging.
  • Result: 12 weeks with no value, agents that don't work and a frustrated team.

Scenario 2: with Obsidian first

  • Week 1-2: Obsidian in place, processes documented.
  • Week 3-4: you discover that 80% of the "manual work" was searching for scattered information.
  • Result: you don't need Paperclip. Obsidian + Claude (second brain with RAG) solve the case.

Most companies that say "we need Paperclip" need:

  • Clear processes (Obsidian).
  • Better coordination (Notion).
  • One person thinking for 30 minutes instead of 500 agents thinking at the same time.

The uncomfortable truth: if automating "a team of 5 that performs like 15" were that easy, the Fortune 500 would have done it already. They haven't, because the cost of configuring agents exceeds the time saved in most cases.

Honest decision matrix

Your problemToolTimeline
Scattered informationObsidian FIRST (non-negotiable)2 weeks
Tracking active projectsObsidian + Notion (Notion afterwards, never before)3 weeks
Constant questions about internal documentationObsidian + Claude (obsidian ai / RAG)3-4 weeks
Crystal-clear, repetitive processes 50+ times/monthPaperclip MAYBE (probably not)8-12 weeks

Questions to ask BEFORE considering Paperclip:

  1. Do I have the processes documented in Obsidian? If not: STOP.
  2. Does the process repeat 50+ times a month? If not: do it by hand.
  3. Does the setup fit in under 4 weeks? If not: it isn't worth it.
  4. Is the economic benefit verifiable within 30 days? If not: it's setup porn.

The recommended stack for an SMB of 5-50 people

  1. Obsidian for documentation and the team's second brain.
  2. Claude connected to the vault for RAG queries over your own knowledge (the obsidian claude notebook pattern).
  3. Notion only if you need collaborative databases and shared views.
  4. Paperclip at the end, and only if you pass the four questions above.

What comes next

If your problem is "scattered information": a free 30-minute assessment. We tell you whether you need Obsidian, Notion or both. Nothing more.

If your problem is "I want to automate everything with Paperclip": set up Obsidian first. Nine times out of ten, Obsidian with Claude solves 90% of what you expected from Paperclip.

TL;DR

  • Obsidian, Notion and Paperclip solve different problems: scattered knowledge, project collaboration and agent-based automation.
  • The right order starts with Obsidian as a second brain and Claude with RAG over your own vault.
  • Paperclip only pays off with documented, repetitive processes and a return you can verify within 30 days.
